What is GDPR?                                                                                                                                                                         The General Data Protection Regulation (GDPR) (EU) 2016/679 is a regulation in EU law on data protection and privacy for all individuals within the European Union. https://en.wikipedia.org/wiki/General_Data_Protection_Regulation
When does it come into force?                                                                                                                                                  The General Data Protection Regulation will be in force from 25 May 2018.
 
How will it affect you?                                                                                                                                                               As a client of Pilates with Michelle, you will not be directly affected by the changes. However, to ensure clarity and understanding - and in coherence with the new legislation - I would like to take this opportunity to explain when, why and how your information is collected and stored, and my legal obligations as a Pilates Teacher in storing your records once your treatment is concluded. 
What type of data do I collect from you?                                                                                                                          Contact Details, including - Full Name, Address, Contact Telephone Number(s) and Email Address.                                    Brief Medical History - including ongoing and historical conditions or injuries which might impact on your abilities or be aggravated by your sessions
When do I collect data from you? Within your initial assessment, I will collect data from you for my reference during your Pilates sessions, and in case I need to contact you with changes to scheduled sessions. 
During sessions to note improvements or changes to your practice / within your treatment. 
When / If any changes occur to your contact details or health.
Special Note: 1-2 Studio Clients if you are uncomfortable with changes to your health/ability being discussed during your session, please alert me and I will ensure a private space is provided for pre-session discussion.  
Why do I collect data                                                                                                                                                                     Data is collected to...                                                                                                                                                                       Ensure I can contact you should there be a problem with a session or treatment - as demonstrated with the cancellation of sessions in the recent snowy weather.
Ensure the treatment or techniques I offer within your session does not compromise or aggravate an existing/historical injury or condition.
 
Means of collection and storage of your data.                                                                                                                     During your sessions I may record observations on the success of your practice – these will include notes for myself regarding changes and adjustments to your programme.
These observations may be recorded on paper or directly onto an external hard drive.
Records in paper form and external hard drive are held in a locked filing cabinet within my home, which remains locked with keys kept in my personal possession. Hard copies of notes will be promptly transferred to a secure digital file and the hard copies shredded.
 
How long do I store your data                                                                                                                                                   In accordance with the professional bodies of which I am a member, your records are held for seven years following completion of your training programme.
Your rights regarding your personal data                                                                                                                             You can request a copy of or access to your personal records from me at any time
You can double check your personal records and request any out of date or any information you feel to be irrelevant be permanently removed.
You have the right to request that your personal data is deleted when it is no longer necessary for me to retain such data.
You have the right to withdraw consent to receive marketing updates/ termly emails at anytime via email or by speaking directly to me (Michelle Johnston)
You have the right to request a restriction on further data recording, in case there is a dispute in relation to the accuracy or processing of your personal information
